Main Screen

The Main Screen provides a familiar web-like look that gives you quick and easy access to all of the RentPlus program's functions. The menu at left provides quick access to the most used functions, the search tool in the lower left makes it easy to find a customer no matter what you are doing, and the tabs across the top group similar functions together to make them easy to find and use.

Getting here: The Main Screen is shown after starting up the program. When you complete work on any other screen, such as the Customer screen, the Main Screen is shown again.

Facility Maps

The RentPlus Facility Map is a representation of the physical layout of your facility. The Map is interactive so you can click a unit to view information, take payments, and move customers in or out of units. Click any unit on the map to display information about that unit (at bottom of Map) or right-click the unit to display a menu of options.

Folders

The Folders provide access to easy-to-navigate lists of customers, units, payments, sales orders, suppliers, etc. Click a Folder name at the top of the Folders page. As you click each folder name, the contents of that folder are displayed. Use the options on the right to change the way the list is displayed and to apply various filters to the list. In all folders, you may double-click on any item in that folder to open a screen that will show details for that item.

Payment

Payments can be processed quickly and easily in RentPlus. For simple payments, a single screen is displayed - enter the cash or check amount (or double-click to pay the amount due), the check number if appropriate, and click Finish. Most payments only take a few seconds. For credit cards, you can 'swipe' the card using a magnetic card reader or you can enter the card information. With the integrated credit card processing setup, you can instantly obtain approval codes right from within the Payment Wizard.  For more complicated payments (multiple units, prepayment discounts, partial payments, etc.), the Payment Wizard guides you step-by-step to ensure accurate and precise data entry. Receipts can be printed as needed, or you can select which payment types must always print a receipt.

Move-In

The Move-In Wizard will take you step-by-step through the move-in process to ensure that the move-in is done accurately each and every time. In addition, the move-in process has been designed to make the most of the sales opportunity that a move-in presents: the first few screens of the Wizard focus on sales - besides the unit, does the customer need insurance? locks? packing materials? can the customer benefit by prepaying? The Move-In Wizard will help you maximize your sales and helps ensure accurate and complete information. A great deal of demographic information can be collected during the move-in process (age, gender, how they heard about you, why they chose you, etc.). This information is reported in a number of reports, including the Customer Demographics report which summarizes your market information.

Move-Out

The Move-Out Wizard automatically calculates the customer's balance or credit due and displays the balance on the screen. You can then take a payment or specify what is to be done with the credit (refund now, refund later, apply to another unit, forfeit, etc. ).  At the end of the Move-out Wizard, a client survey is displayed in order to gather statistics from your customers about your facility and service (see the Move-out Survey Results report).  Move-outs may also be calculated on a "what if" basis - enter a future date and RentPlus will show the balance that will be due on that date - you can even print it or e-mail it to the customer.

RentPlus will also printout the refund checks (for authorized users).  Just select Refunds from the Favorites menu, select the refunds you want to print, and go - the checks will printout automatically - ready to go into a window envelope for easy mailing.

Sales Order

Since RentPlus includes a complete inventory management system, creating sales orders is easy. The Sales Order Wizard makes it quick and easy to select the products and quantities you are selling, enter the payment, and printout a receipt. Sales Orders can be made to existing or to walk-in customers.  If products need to be returned, RentPlus allows you to indicate the quantity of each item returned, and automatically does all the calculations for the credit amount, and can add the items back into inventory. All cost of sales accounting is done automatically, you can set multiple price levels, and you can specify the general ledger accounts to be used throughout the sales cycle. A quick look at the Products and Services folder on the Folders tab shows you which products need to be reordered, and many other inventory reports provide you with the information you need to make ancillary sales a profit center for your business.

Bank Deposit

The Bank Deposit Wizard is usually run once a day to compile all of the receipts taken in since the last bank deposit. The Wizard lists all the cash payments, shows the total needed, pops up the Cash Drawer Counter utility to help you and lets you know if your cash balances. Next, all the checks are listed and totaled so you can compare with the checks you have on hand, and finally, a list of the credit card payments you have processed are shown, to help you balance against your credit card processing records. If applicable, the Bank Deposit Wizard will generate the credit card settlement that some credit card processors require. When you are done, a set of Bank Deposit reports can be printed. You can always review the Bank Deposit History report to review or reprint any previous bank deposit. Any variances are automatically accounted for in the bank account and shown in a cash over/short account so it is easy to audit. RentPlus also includes the Balance Bank Account Wizard. This will list of the bank account entries and allow you to mark the ones that appear on your bank statement and allows you to make additional entries for bank charges and/or interest income to make reconciling the payments entered into RentPlus with your bank statement a single and simple process.

Access Control Interface

RentPlus integrates seamlessly with most popular security systems, including systems from Digitech, PTI, Sentinel, WHAM, and others. RentPlus also supports the industry-standard "Universal" interface enabling it to work with many other systems. When linked, RentPlus automatically updates the security system as to the valid codes and status of each unit. When late, customers are automatically locked out; and when they pay up, they are automatically let back in.  For Digitech, PTI, and Sentinel systems, our extended interface allows RentPlus to capture the gate activity so as to display when a customer has gone in and out on that customer's screen in RentPlus. RentPlus supports multiple keypads, multiple time zones, multiple codes per unit, door alarms, remote gates, and most other features of self storage security systems.

Reports

There are well over one hundred different reports in RentPlus providing information in these categories: customer information, accounting, collections, inventory, and occupancy information. Many reports provide both summary and detail information in a very comprehensive and interactive way. For example, the Business Summary report shows summary information in a variety of categories: charges, payments, receivables, prepayments, occupancy statistics, bank deposits, etc. For detail, just double-click any information on the report and you will "drill in" to the detail. RentPlus also includes a Report Wizard which allows you to create many of your own reports.

Any RentPlus report can be viewed on screen, printed, faxed, saved, exported to Microsoft Excel or Word, or sent as e-mail.

Many reports can be setup to be automatically printed or e-mailed at a specific time, making gathering information easy and simple for everyone: stakeholders get their information and operators do not have to take time out to run and send reports.

Utilities

RentPlus has a large number of utility programs that are essential to running the computer side of your business efficiently. These include utilities to login and logout and report who was logged in, utilities for counting and tracking your cash drawer balances, utilities for maintaining and tuning your RentPlus data, and utilities to help you backup and, if necessary, restore your data.

Tasks

A Daily Tasks system is built right into RentPlus. Each day, if there are any tasks for the day, they will be displayed on the Main Screen. Tasks may just general tasks, or they may be attached to customers, suppliers, or prospects. Some RentPlus activities add automatic tasks, for example, when you enter that a customer has given you notice of move-out, a task will be created for the day they are expected to move out.

You can also create Alert Messages that are tied to a customer, so anytime anyone chooses to work with that customer (take a payment, move-out, look up their balance, etc.), the alert message will pop up (examples include: Need address, need phone, no checks, etc.).
