New Features and Enhancements

  • Scroll from customer to customer without leaving the customer screen, or lookup and jump to a customer by name.

  • New zip code matching lets you skip the entry of city and state, type in the zip code, and the city and state are automatically filled in. Or, you can fill in the city and state and the zip code will be filled in automatically. Zip codes are also checked to make sure that they match whatever city and state you type in.

  • If a move-in date is ahead of the current date, the unit will show as reserved on the map and on the vacant reports.

  • A fifth color option for reserved units has been added to the map.

  • During Move-In, you can add a recurring charge such as electricity or 24 hour access. 

  • A permission setting has been added to allow a user to add/edit access codes even if they do not have full permission for the Unit Property sheet.

  • New report – Value of Unit Contents – has been added. The move-in wizard now includes a field for entering the value of contents, as does the Customer Contract Property sheet. This feature can be disabled with a setting in Options. The report includes insurance information as well as the value as entered.

  • New report – Customer Deposits – has been added. Shows listing of all customers and the security deposits that they have been charged.

  • New report – Customer Gender and Aging Analysis – has been added. Displays analysis comparing age and gender. Age of customers is determined by date of birth entry, gender is determined by the salutation (Mr., Mrs., etc)

  • New report - Size Statistics  - has been added. Shows units by size comparing potential to actual rent and footage occupied.

  • New report - Customers with Billing Option - has been added. Shows a list of customers that are signed up to receive a bill.

  • New report - Letters Sent With Reference Numbers  - has been added. Shows a listing of letters sent during the selected date range that were printed with a reference number.

  • New feature – Reminders. New option on the Favorites menu displays a list of reminders. You can add reminders for individual customers, suppliers, prospects, etc. Reminders are displayed on startup if any exist for the current date.

  • New feature - Report Wizard. New option to create your own reports. Results can be viewed, printed, or exported to Excel, HTML, or ASCII Text. Report Wizard reports can be created based upon the Unit List (including Active Customer information) or the Prospect list. The Report Wizard is accessed by clicking a button on the Reports form.

  • New form – Tech Support Request. New option on the Help menu allows you to enter your question then print or e-mail the request to HI-Tech. Information about your system and RentPlus setup is included in the information sent.

  • Startup - Daily Processing – displays estimated time remaining.

  • Startup – Report Queue – added column for post (zip) code. Clicking a column to sort the list will determine the sort order of the letters. That sort order will subsequently be saved and used automatically. Also redesigned the layout of the buttons and show the number of items remaining to be printed in the status bar.

  • Bank Deposit Wizard – added buttons to Mark All or Clear All. The bank deposit reports can be automatically printed if the setting in Options is checked.

  • Automatic Credit Card Processing – if a receipt is printed, it will include the customer’s address.

  • Customer Refund Wizard – option to refund by cash. Also, when forfeiting a refund, the amount can be split into rent and tax.

  • Customer Letter Wizard – the option to select or set the reference number has been integrated into the main form rather than a popup form.

  • Customer Moveout Notification – a reminder is generated for the date the moveout is scheduled.

  • Customer Property - Contract tab - added column to display the name of the rental plan the customer was moved in with.

  • Customer Property - Added new tab called "Invoicing" which shows all of the charges added to an account in an invoice format - useful for regions where tax invoicing is required (e.g., VAT, GST, etc).

  • Customer Property - Added new tab called "Security History" which shows the history of activity in the security system (entries, exits, etc) for that customer. Currently only available for the Digitech Digi700 system and the PTI Falcon 2000 Access Control System.

  • A new report - Security System Activity - shows all of the history of activity in the security system for the selected date range (Digi700 and Falcon 2000 only).

  • Personal or Organization Properties - on the Phone tab, you can now highlight the customer's e-mail address and then click Send to create an e-mail message for that customer.

  • Options – the “Language” tab has been renamed as “Regional Settings”.

  • Dual currency feature – the Payment Wizard will allow you to accept a payment in either of two currencies. The amount due in the alternate currency is also shown on the Customer Property sheet and on the Receivables/Prepayment (Interactive) report and on receipts. Alternate currency settings can be set on the Regional Settings tab in Options.

  • Business Summary report – New Enhancements - (1) includes a section that shows the Customer Deposits: beginning balance, deposits added and returned, and ending balance. (2) Includes a section that show unit activity by size range (3) includes an option to include an additional column of information that only includes the results from the last day of the date range (so you can run, for example, today's results in one column, and the month-to-date in the other column).

  • Mailing Labels report – include options to send labels to all customers, active or inactive customers, prospects, and suppliers.

  • Customers’ Distance to Facility report – includes area details.

  • Customers’ Marketing Source report – includes area details. Also added an additional tab that is a marketing source report for the Prospects.

  • Security System Information – requires permission setting to view access codes.

  • End-of-Day – automatic tasks – there is a setting to bypass automatic tasks in Options. This is often necessary in multi-user situations where you only want one workstation to do the automatic tasks.

  • End-of-Day - automatic tasks - new reports available for automatic scheduling are the Unit Activity report and the Size Statistics report.

  • End-of-day - automatic tasks - when scheduling the Business Summary you can select the date range that will be used.

  • End-of-Day – option to download all unit data to the security system.

  • End-of-Day - will create a text file - LastBackupFile.txt - that contains the name of the latest archive file created by the End-of-Day program (used by BackupForBusiness.com for automatic backups).

  • Find tool – redesigned the form to make it easier to find search criteria.

  • Automatic Credit Card Processing – includes supports for Address Verification Service, which can reduce credit card rates.

  • Sales Order - if started from the Customer Folder, it will now default to the highlighted customer rather than automatically use the highlighted customer, so you can change the customer if necessary.

  • Use a previously used credit card for payment. When taking a payment, right-click the credit card icon to select a credit card number from a list of the credit cards on file for the customer.

  • A setting has been added to Options to use the same numbering sequence for invoices for rentals and sales. Another setting in Options (Other Settings tab) allows you to insert a letter prefix before each number.

  • A setting has been added to Options to allow you to select the check format used for checks that you print - either the standard check format or the Quicken-style check format may be selected.

  • If insurance is installed, move-in will default to the standard insurance plan instead of no insurance. A setting in Options allows you to force it to default to no insurance.

  • A setting has been added to Options to allow you to set the default phone types to use when moving in a new customer.

  • A setting has been added to Options to allow you to include all prices on the Price List. If checked, all prices will be included. If not checked, only the lowest price for each size is shown.

  • A setting has been added to Options to default the Business Summary report to include the End-Date column.  If not checked, the Business Summary will have only one column of data.

  • A setting has been added to Letters to allow you to format all letters so that the address is on the right hand side of the paper instead of the left.

  • A setting has been added to Options to modify the way that tax is calculated on sales orders. If not checked, tax is calculated as [(quantity * price) * taxrate], if checked, tax is  calculated as [(price * taxrate) * quantity].

  • Journal Export – added option to export to SunAccounts accounting software.

  • Unit Types (self-storage, vehicle storage, parking, etc) can now be renamed. Use Tools | Setup | Lists and select the Unit Types tab to make any changes.

  • The Prospect Wizard now includes a list of site features that can be checked as they are mentioned to a prospect. The list of site features can be modified using Tools | Setup | Lists.

  • The Phone Number Wizard has been redesigned to make it easier to view the available phone types.

  • You can create an e-mail message for a customer, prospect, or supplier directly from the phone number page in the property sheet: highlight the e-mail address and click Send.

  • Payment Wizard now includes a setting to not allow a user to enter a payment above the maximum allowed payment amount unless they have been given the authority in Permissions.

  • Payout Wizard includes an option to automatically calculate the VAT portion of the payout.

  • Rent Increase Wizard – option to select the sort order for the rent increase letters. The letter will also include tax on the rent, if any.

  • New menu options - Backup On-Line (file menu) and BackupForBusiness.com (help menu). These links will take you to the BackupForBusiness.com web site for information on backing up your data to secure servers over the Internet.

  • Added a setting in Options to display customers’ second line of address as code, region, city instead of normal city, region, code.

  • Various reports – include date range selected on the report and properly set margins to support A4 paper.
  • Registration Wizard - includes a place to enter your e-mail address.
  • Support for 40-column receipt printers connected through a USB port has been added.
  • Credit Card number - when the card is masked (where '*" replace most of the numbers), the first digit of the credit card is shown in front of the asterisks. For example:  3*****1234

Bugs fixed in v1.7   

                                                                                                          

These are bugs that were in earlier versions but have been fixed in v1.7

  • Credit Card Authorizations report – by default includes all customers who have signed up for credit card authorizations and also shows the total count of the customers in the list.

  • Income and Expenses report – properly calculates year-to-date balances for fiscal years ending other than December.

  • Payments Received report –shows correct salesperson on details of sales transactions.

  • Automatic Credit Card Processing – will not send swiped card data for charges. Swiped data is sent only for transactions where the customer is present (requirement of the credit card processing companies).

  • Automatic Credit Card Authorization - correct problem where you could not sign up a new customer for automatic payment.

  • Credit Card Expiration Letter - correctly include the tax with the rent if there is tax on the rental unit.

  • Customer Letter Wizard - correct problem where letters to customers did not show the  description of the contents.

  • Customer Property - correct problem where information changes were showing multiple times.

  • Journal Entry – verifies that entry is in balance before posting.

  • Plan Wizard – Late Charge form – uses $20 as the default minimum late charge if the California Late Law option is selected (was $10).  Also will not show the percentage of the late fee in the customer ledger unless the percentage (not a fixed amount minimum) was used.

  • General Ledger Trial Balance report – includes only the year-to-date amounts in the balance forward column for income and expense accounts.

  • Assets and Liabilities report - correct problem with incorrect calculation of fiscal year begin date and balances.

  • Check printing – corrects problem in display of distribution information caused by one or more of the distribution lines being a negative number.

  • Automatic Tasks - corrects problem where if a task was scheduled for a particular day and the system was never used that day, the task was not rescheduled for its next run.

  • Bank Deposit Wizard - correct problem where multiple payouts in the same day did not total properly.

  • Bank Deposit Report - correct problem of not showing all details when one or more of the salespersons have been discontinued as users.

  • Reverse Payment Wizard - correct problem where the original date of the payment was used as the reversal date instead of the reversal date entered by the operator. Also, when reversing with the "needs correction" option, will no longer do a reversal of the credit card transaction if there is no change in the amount or the card number.

  • Transfer Unit Wizard - cancels any notices of moveout for the vacated unit that may exist.

  • Correct problem with automatic capitalization when entering names like McGwire or O'Neal.

  • Correct problem in Resources form that prevented the Search the Internet from working properly.

  • Correct problem in Individual and Organization Properties that did not allow the Open Image button to work properly

  • Access Control Interface - correct problem during multiple-unit Move-in where units are connected to different security systems where it did not properly update all of the security systems.
